This notice explains what personal information On Camera Acting collects, why it is used, who it may be shared with and how long it is kept.

1. Who is responsible for your information?

On Camera Acting is operated by Stuart McGowan. Stuart McGowan is the data controller for the personal information described in this notice.

2. What information is collected?

Depending on how you contact or book with On Camera Acting, the following information may be collected:

  • Your name, email address and optional telephone number.
  • The class or service you are interested in, your level of acting experience and anything you include in your enquiry.
  • Correspondence, application details, booking status and relevant attendance or service records.
  • Payment and invoice information, including the amount, date and status of a transaction.
  • Basic technical information processed by the website host for delivery, reliability and security, such as an IP address, browser type and server logs.

The name, email address, area of interest and experience fields are required so that an application or enquiry can be understood and answered. The telephone number and free-text message are optional. There is no legal obligation to provide this information, but On Camera Acting may be unable to consider an application or respond properly without the required details.

Please do not send medical information or other sensitive personal information through the general enquiry form unless Stuart has specifically asked you to provide it through an appropriate method.

3. How does the enquiry form work?

When you submit the website form, the details are sent directly to On Camera Acting and stored securely as an application record. The website sends a copy of the application to Stuart and sends an acknowledgement to the email address you provide.

Transactional emails are delivered using Resend, an email-delivery provider. Submitting the form is an application only: it does not reserve a place, create a contract or require payment.

4. Why is your information used?

Enquiries and applications

To reply to you, discuss suitability and availability, and take steps you request before a booking or contract is made.

Lawful basis: steps before entering a contract and legitimate interests.

Bookings and services

To reserve a place, administer the course, communicate practical arrangements and provide acting classes or showreel services.

Lawful basis: performance of a contract and legitimate interests.

Payments and records

To take and confirm payments, issue invoices, maintain accounts and meet tax or other legal responsibilities.

Lawful basis: performance of a contract and legal obligation.

Website operation and security

To keep the website reliable, prevent misuse and investigate technical or security problems.

Lawful basis: legitimate interests.

Optional updates

To send news about future classes or services only where you have specifically asked to receive those updates.

Lawful basis: consent, which you may withdraw at any time.

On Camera Acting does not use personal information for solely automated decisions or profiling.

5. Card payments

Where a secure payment link is provided, card information is entered directly with the payment provider. On Camera Acting receives payment confirmation and limited transaction details but does not receive or store your complete card number or card security code.

6. Who may receive your information?

Information is shared only where reasonably necessary with service providers supporting the website and application database, Resend for transactional email delivery, IT and card payments, or with professional advisers such as an accountant, insurer or legal adviser. Information may also be disclosed where required by law, a regulator or a court.

These providers may process information on behalf of On Camera Acting or under their own legal responsibilities. Personal information is not sold or rented to third parties.

7. International processing

Some technology or payment providers may process information outside the United Kingdom. Where this happens, On Camera Acting relies on the safeguards used by those providers, such as an adequacy decision or approved contractual protections, as required by UK data-protection law.

8. How long is information kept?

Enquiries that do not become bookings

Up to 12 months after the last meaningful contact.

Applications and course administration

For the duration of the course and normally up to 24 months afterwards. Relevant records may be retained for up to five years where reasonably required to deal with a complaint or legal claim.

Payment, invoice and tax records

For at least five years after the 31 January submission deadline for the relevant tax year, or longer where legally required.

Optional marketing preferences

Until you withdraw your consent or after 24 months without engagement, whichever happens first.

Technical logs

Kept by the hosting or technology provider only for as long as needed for operation, security and legal compliance under that provider’s retention schedule.

Information may be deleted sooner when it is no longer required and there is no legal reason to keep it.

9. Cookies and local browser storage

The site uses optional Google Ads conversion tracking to understand when an advert leads to a successful application. The Google tag is loaded only after you select “Allow” in the cookie-choice panel. When enabled, Google may place or read cookies and receive technical information about your visit. A conversion event is sent only after the application form has been submitted successfully.

You can decline this tracking and still use the website and application form. You can also review or change your choice at any time using “Cookie settings” in the footer. The site uses limited session storage to remember when you close the class announcement, so it does not immediately reappear during the same browser session. The hosting service may use essential technologies needed to deliver and protect the website.

10. Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, correct inaccurate information, request deletion or restriction, object to certain uses, receive portable data, or withdraw consent where consent is the lawful basis.

To exercise a right, email stuart@oncameraacting.co.uk. Identity may need to be confirmed before a request can be completed.

11. Complaints and changes

Please contact On Camera Acting first so that any concern can be addressed. You also have the right to complain to the Information Commissioner’s Office. Further information is available at ico.org.uk/make-a-complaint.

This notice will be reviewed when the website, forms, payment process or use of personal information changes. The date at the top will show the latest revision.
